In Depth File Flow of a Transaction

Two things that I do not take care of on a transaction:
Negotiate RE-10’s (and) Schedule Final Walk Through

 
  • When a new file is submitted, I will reference your Agent Questionnaire for your communication needs.

  • New files will be opened with intro phone calls and intro emails completed within 24hrs or less (Mon-Fri).

  • Please CC me in all correspondence. I will keep track of all emails and hold them for 30 days after funding.

  • Once the Contract is fully executed, you will provide all items readily available and attached to the Email. I will split out all documents and label them and organize them within my TCWorkflow. Once I create this file within my system, I will send a Transaction Invite to you.

  • If there are documents missing once under Contract, I will calendar for follow up and collect them.

  • Review all documents for accuracy and connect with you on any corrections we will need so I can create an addendum and send out for signature and/or initialed corrections. **If a Correction or Addendum is not Urgent, I will hold off until RE 10 Release, before coordinating initials/signatures**

  • Calendar ALL Tasks (reference Pg 1 for list).

  • Broker checklist will be completed, and all documents are sent to Broker at file open via email (OR)

  • Broker site, depending on Brokerage process. Trailing docs will be uploaded as they come in.

  • Please provide inspection date and time once you have scheduled. I can contact the listing agent for CBS code if needed. If you would like for me to order the inspection, please let me know the Company/Date/Time to schedule.

  • Intro Email to Escrow & Lender - This will encompass Client Information, Documents needed, Closing Date, etc.

  • Intro Email to Co-Agent - This will include confirmation of any corrections/addendums that will go out after RE-10 release (so they are properly numbered & we don’t overlap), assistant contact if applicable, missing documents, Home Inspection info, etc.

  • Intro Email & Phone Call to Client - Email will include Utility List, Home Inspection Info, Escrow Contact, etc. I will call them prior to my email to introduce myself and let them know I will be assisting you.

  • If the transaction is your listing, I will change the MLS status to Pending. Once the transaction has funded, I will change the MLS status to Sold.

  • Throughout the transaction I will send out trailing documents and use your MLS Authentisign for signatures. Final Signed items will be sent out immediately to all appropriate parties.

  • Title will be reviewed for Accuracy of Address / Buyer and Seller names / Legal Description to match contract / If there is a Tax Lien or Judgment I will have Title contact the Client in order to remove/clear (Client is to communicate their personal info such as SS#'s to Title directly).

  • Title & CCR's will be sent to Buyer per Agent request on Questionnaire.

  • RE-10 reminders will go out the day before and the morning of the due date, with Co-Agent/Assistant CC'd. Please CC me on final RE-10 to Co-Agent so I can track.

  • RE-10's will NOT be sent to a Lender unless you have a Sales Price change or Seller Credit that affects the loan – You and I will be in communication on if Lending/Title should receive an RE-10.

  • Reminder to the Listing Agent on repair/invoice status. Once these items are received in full, I will email you and the Client. If we are representing the Listing side, I will forward all to Co-Agent.

  • Facilitate any questions between you, the Client, Title, Lending, and the Co-Agent, providing answers within a timely manner.

  • Complete the Commission Instructions from Escrow & Commission documentation/requests per Broker (DA’s, etc.)

  • Request the release of EMD if needed, per contract.

  • Schedule the Signing Appointment between Client and Title with a follow up Confirmation Email to All Parties

  • I invoice my fee directly to Title and will be paid through Closing

  • Review the Settlement Statement for Sales Price, EMD, Seller Contributions, Seller Fees, Repairs, Agent Commission, TC Fee. You will review as well for Final green light prior to Signing and connect with the Client on finalization of numbers in case there are any questions.

  • I will stay in contact with Title on Recording Status the day of Funding.
